PD Parent Meeting Recap

I recorded tonights meeting on chatgpt and below is the abbreviated recap:)

Hi everyone! I’m Kelly – I’m the one behind all those emails you’ve been receiving, so it’s nice to finally see so many of you in person. A special welcome to all our new families — we’re so glad you’re here! Your involvement helps our meets run more smoothly, and we truly appreciate your time and energy.

Although I’m the primary communicator, I’m supported by an incredible board of volunteers who help everything come together:

  • Amy oversees our social events, including the end-of-season banquet and our Fun Fridays.
  • Julie manages volunteer coordination — she’ll help make sure everyone meets their requirements (though she won’t actually show up at your house… I promise!).
  • Candace handles team apparel & awards
  • Becca is in charge of concessions
  • Melissa and Kate manage finances. Just a quick note here: we are a non-profit organization. All our funds — from registration and sponsorships — go toward paying our coaches and hosting events. The HOA oversees our budget to ensure proper use.
  • Christy is our tech lead. She handles everything related to meet entries and computer systems, and you’ll see her in action on meet days.

What to Expect at Swim Meets

If you’ve never attended a summer league meet, here’s a quick overview (and even if you have, it’s a helpful refresher!):

  • Arrival & Warmups: Swimmers arrive around 5:00–5:15 p.m. for warmups. Meets begin at 6:00 p.m. sharp.
  • Crowd Size: Meets often include up to 400 people, with teams ranging from 85 (like ours) to 150 swimmers — plus parents, siblings, and grandparents.
  • Events: Each swimmer may compete in 3 individual events and up to 2 relays. Coaches choose events based on each child’s readiness and stroke legality.
  • Relays: Determined strictly by times.  At home, we may run exhibition relays to give more kids opportunities.  At away meets, relays are limited to avoid late nights.
  • Heat Sheets: You’ll receive a document before each meet detailing your child’s events, heat, and lane assignments. We’ll also show you how to mark them to stay organized.

Six & Unders

  • These swimmers are eligible for any 8 & under events.
  • If your child is only ready for freestyle, that's ok!
  • We aim to gradually introduce strokes for confidence and experience.
  • A swim test is required to participate in meets

Volunteer Expectations

Volunteers make the season happen. We ask:

  • Residents: 3 shifts minimum
  • Non-residents: 4 shifts minimum
  • More shifts and opportunities will be added throughout the season

Popular and beginner-friendly roles:

  • Timers: Start your stopwatch at the beep (or light) and stop when the swimmer touches the wall.
  • Concessions: Help sell snacks and meals — an easy way to stay involved.

If you’re brand new, avoid “Clerk of Course” — that job involves organizing swimmers for each heat and can be tricky without knowing names.

Code of Conduct

We’ve shared our Team Policies via email and want to reiterate: our goal is to build a kind, supportive community — for our swimmers and families alike.

  • Behavior Policy: 1) Verbal warning, 2) Written warning, 3) Removal from the team.
  • These steps are in place to protect a positive environment. While issues are rare, we take them seriously and will always involve parents in any necessary conversations.

Our Coaching Staff

  • Coach Alison (Head Coach): Recently retired from swimming at Alabama (D1 program!) to pursue pre-med.
  • Coach Lauren (Head Assistant): Experienced year-round swimmer and high school junior.
  • Franklin & Sarah: Wonderful neighborhood teens focused on 10 & under age groups.

We’re so excited for a great season! If you have questions, don’t hesitate to ask. Thanks again for being here and being part of this community!
